What You’ll Do: As an Executive Project Coordinator, you will play a pivotal role in supporting the CEO while simultaneously assisting in key projects within the organization. This dynamic position requires a highly organized individual with exceptional multitasking abilities, strong communication skills, and a proactive approach to problem-solving. Responsibilities include: Executive Support:- Provide comprehensive administrative support to the CEO, including calendar management, time management, organizational needs, and meeting coordination.- Prepare and edit presentations, reports, and other documents for executive review, ensuring accuracy and consistency.- Schedule and organize meetings, including agenda development, logistics coordination, and follow-up actions.- Assist in prioritizing tasks and projects to optimize the CEO’s time.- Develop and maintain a time management system to enhance efficiency.- Provide personal assistance to the executive as required. Project Coordination:- Coordinate cross-functional teams and stakeholders to ensure alignment and successful project outcomes.- Apply strategic thinking to project planning and execution, ensuring that project activities align with the organization's overarching goals and objectives. - Anticipate future trends and challenges that may impact project outcomes, and proactively develop strategies to address them. - Collaborate with senior management to provide insights and recommendations on how projects can contribute to the long-term success of the organization.- Prepare and distribute regular project status updates to stakeholders and senior management.- Ensure adherence to established processes and procedures within the organization.- Coordinate with team members to ensure project milestones are met on time.- Conduct research and analysis on various topics as needed.- Maintain accurate project documentation, including project plans, progress reports, and meeting minutes.- Monitor project deliverables to ensure they meet quality standards and specifications. Conduct regular quality reviews and implement corrective actions as needed to address any deficiencies.
What You’ll Need:
Bachelor's degree in Business Administration, Project Management, and/or related field.
Proven experience (3+ years) in executive assistance and project management roles, preferably in a corporate environment.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent written and verbal communication skills, with a keen attention to detail.
Proficiency in project management tools and software (e.g., Microsoft Project, Asana, Trello).
Ability to work independently with minimal supervision and collaborate effectively in a team environment.
Flexibility to adapt to changing priorities and deadlines in a fast-paced work environment.
