Department Overview

The UK M&SS PMO sits within the International Business Operations team delivering PMO services across the Airwave and ESN Termination Services programmes. The PMO team supports the delivery of multi-million pound projects and programmes by providing consistent standards and processes along with reporting mechanisms to enable senior management decision making.

The team covers the following areas:

Programme Governance
Business Change/Forward Planning Management
Programme & Project level RAID Management
Project Financial Management
Resource Management
Procurement/Order Management
Project Change Management
Requirements Management
Project Lessons Learnt


Job Description

This role is primarily remote working.

The PMO Coordinator will play an important part in the delivery of the Programme & Project Management (PPM) processes.

The post holder should seek to continually improve the performance of the portfolio, programme and projects within the organisation.

The post holder will need to influence others outside of the department regarding practices and procedures and may be required to offer training or guidance to people in more senior roles.

Typical problems will require some understanding of other resource areas such as System Integration & Test, Network Design and Customer Integration i.e. when pulling together details for prioritisation and priority calls.

Business Change/Forward Planning:

  • Responsible for the administration of the Business Change Process including:
  • initial contact with requestors to ensure completeness of forms.
  • support of the Ideation Forum and Prioritisation Board in terms of preparation of collateral for presentation.
  • recording and tracking actions and minutes across meetings related to Business Change (Ideation primarily).
  • organisation of business case kick-off meetings.
  • ensuring the creation of Business Cases in a timely manner by following up on agreed deadlines and coordinating support where required.
  • Support budget management during the business change phase by setting up TMS codes, OTL codes and creating MS Project plans to capture resource allocations.
  • the maintenance and development of the Business Change List/Tracker on SharePoint.
  • Assistance with radar/forward planning reports.

Lessons Learnt Process Support:

  • Create and maintain a set of processes to ensure benefits from lessons learnt are achieved.
  • Feed lessons learnt into the Business Change processes. 
  • Create and maintain a set of Governance reports including KPIs to demonstrate value.

PPM Process Support:

  • Manage the activities to ensure the PPM processes are reviewed and updated in accordance with the Governance requirements (e.g. bi-annual Gated Governance process review, annual risk management review).
  • Monitor projects, TMS codes and OTL codes to ensure all closure activities are completed.
  • Conduct budget tracking and reporting on non-governance projects.

Portfolio Governance and Reporting:

  • Facilitate Programme Governance meetings where required.
  • Ensure the recording and tracking of actions across various governance meetings.
  • Look for opportunities to improve the Governance and reporting activities within the post holder’s area of responsibility.

Other activities to support the PMO team may be included at a later date, e.g. support with resource management.


Basic Requirements

It is expected that suitable candidates will have a broad business and technical knowledge across multiple domains gained through years’ experience.

Essential Criteria:

  • Trained and experienced in Word, Excel, PowerPoint and SharePoint
  • Previous experience of creating reports, planning activities, working with projects and/or delivery teams.
  • Proven record of being self-motivated self-confident and ability to use own initiative.
  • Proven record of being able to build relationships and work in a close delivery orientated team.
  • Excellent communication skills and the ability to successfully influence and negotiate with internal stakeholders to achieve results.
  • Ability to identify risks and issues and provide avoidance mitigation and solutions.  Know when to escalate.
  • Knowledge of planning tools such as Microsoft Project Online would be advantageous.
