Job Description

To provide PA support to Directors and administrative support to their wider teams.

Liaise and coordinate with internal and external resources, work collaboratively with the other PAs and Administrators in the business to ensure a consistent and excellent level of service is always provided.

Work autonomously and independently with excellent attention to detail and a pro-active approach to their work.

Principal Accountabilities:

  • Proactive Inbox management: monitoring, reading, forwarding, responding on their behalf as appropriate and implement a coherent filing system.
  • Diary Management: first point of contact for all meetings, identify diary clashes and resolve them effectively.
  • Administer travel and hotel bookings, allow adequate time to travel to/from meetings and update the diary with detailed itinerary.
  • Plan and prepare for meetings collating papers, reports, committee packs, and agendas. Ensure meeting attendees are aware of their own action points from previous meetings so that any outstanding actions can be quickly addressed.
  • Carry out a wide range of administrative duties across the allocated division e.g., Take accurate minutes to a high standard and circulate in a timely manner, initiating payment of invoices/expenses dealing with queries which subsequently arise.
  • Maintain our internal CRM system to a high standard, managing electronic filing and archiving, keeping accurate and confidential records.
  • Assist with planning and organisation of business events e.g., off-site meetings, workshops, training courses and company away days.
  • Support with a wide range of H&S administration including but not limited to
    • Liaising with external clients and management partners to obtain documentation, collate, and provide reports on a quarterly to annually basis.
    • Keep staff records up to date for CBT (Computer Based Training) and Skillsgate training.
    • Help to prepare for Audits and instil good practice.
  • Work effectively with the wider business support team, providing cover during absence and periods of high workload to enable continuity of support. Assist with any administration need for the wider Executive Team as required by the PA’s and Business Support Manager.

Qualifications

  • Educated to A level standard or higher.
  • Experience working as a PA / Team administrator industry/commercial environment. Ideally with experience in Property and/or Financial Services sector.
  • Good knowledge of Microsoft Office applications, particularly Word, Excel, and PowerPoint.
  • Excellent organisation and people management skills.
  • Be First Aider and Fire Marshal trained or be willing to become both via training which will be provided by LGAH.
  • Salesforce or similar CRM exposure is desirable.
