Job Description

To provide a  PA service of the highest standard to the Corporate Development Director, and Chief Risk Officer and their teams. To develop a good working knowledge of the responsibilities of the Directors in order to make delegated decisions on their behalf and enable them to operate with maximum effectiveness in accordance with regulatory and legislative requirements and Legal & General values.

What you will be doing:

 

  • Responsibility for designated Directors including full diary management of internal and external meetings with agenda and supporting material, full support with email management where required, travel arrangements, collation of expenses to upload onto internal system, collation and creation of presentations, ensuring a high degree of confidentiality, accuracy and consistency at all times.
  • Maintain board and committee packs, structure charts, hospitality logs, performance review documentation etc., ensuring this information is to hand when required across the relevant teams.  Analyse and escalate triggers or issues as required and own until resolution.
  • Ensure the accurate production and maintenance of documentation, presentations and communications for designated Directors.  Continually review and update formats and maintain version control as appropriate.
  • Provide prompt, professional and courteous support to any enquiry from any internal or external customer.  Assess the nature, confidentiality and urgency of the issue, taking remedial action as necessary.  Where possible responding or recommending a response on behalf of the allocated Directors or escalating and taking ownership that these enquiries are resolved.  To ensure the customer has been treated fairly in light of all the circumstances and information that is available.
  • Act as a point of contact for the allocated Directors, delivering a professional image of Legal & General and responding to their enquiries in a timely manner and across all media, taking ownership that issues are resolved and integrity is preserved.  Ensure visitor arrangements and itineraries are efficiently planned and coordinated.  Liaise and actively coordinate with other Legal & General PAs and Administrators to deliver a consistent and complete support function.

Qualifications

  • Proven track record working as a Personal Assistant, Team Assistant, Team Administrator or Executive Assistant
  • Knowledge and experience of core Microsoft applications including Outlook, Teams, SharePoint, Word, PowerPoint and Excel.
  • Capable of using a variety of technology. Ability and willingness to learn and train others on new tech/systems and sharing knowledge and expertise where necessary. 
  • Demonstrates accuracy when sending out reports, papers, and correspondence.
  • Strong team player, capable of working in a fast-paced environment where attention to detail is paramount.
  • The ability to prioritise a busy workload and to be flexible in a continuously changing environment.
  • Self-starter, capable of working alone and unguided but dealing with any situation that arises and confident in making decisions where appropriate. 
  • Excellent interpersonal/communication skills at all levels and the ability to create a strong internal and external network.
