Job Description

You will manage, motivate and develop employees at all levels in a manner that is consistent with the company's policies and procedures.  To ensure both teams provide a high quality, controlled and cost-effective service. 

Accounts Payable – Ensure the processes and controls within the Accounts Payable team are adhered to fully and payment requests are processed, authorised and paid in a timely fashion to both external suppliers and staff. 

What you will be doing:

  • Manage the Accounts Payable team and ensure all staff expense claims and supplier invoices (PO, Non-PO and consolidated) for all ledgers (UK and overseas within GFAS) are processed in a controlled and timely manner.
  • Oversee approval of all non-system expenses and preparation of timely MI covering all aspects of the AP team.
  • Responsible for the review of expense policies and management of all expense policy changes ensuring they are approved by the Head of Accounts Payable & Cash Management, Group Tax and relevant HR / Group Finance management where applicable.
  • Maintain relationship with Group Tax to ensure legislative changes and agreements approved by HMRC regarding expense dispensation are fully implemented with minimal risk to Legal & General.
  • Oversee approval of all non-system expenses and preparation of timely MI covering all aspects of the AP team.
  • Manage the processes and procedures relating to the supplier due diligence and set-up / amendments of suppliers / staff and ensure that all necessary checks and balances are completed.  Ensure an independent audit check of all work completed from a supplier details (setup, bank amendment or address amendment) or staff (new user, bank amendments) are verified by a member of the AP team and recorded on file.
  • Be the main point of contact for any queries or questions related to the various policies and procedures within the Accounts Payable team. 
  • Oversee preparation of daily, weekly and monthly processing management information to ensure that all key issues / control failures are brought to the attention f the Head of Accounts Payable and Cash Management as they arise and appropriate actions are in place to strengthen controls going forward.
  • Be responsible and ensure procedures, PCRM’s OneSumX, EUC initiatives and all GDPR/DPA controls are in place for all the Accounts Payable and Supplier Set-ups (Purchasing) activities, are regularly reviewed and all necessary controls and MI produced accurately and timely and kept up to date as per the various requirements in place.
  • Responsible for ensuring all BAU SLA’s and MI are monitored, together with capacity plans / data for divisions and timesheets where necessary.
  • To manage any projects or continuous improvement initiatives that arise within the Accounts Payable department to ensure that all possible risks are mitigated and appropriate controls are maintained / enhanced, without adversely affecting operational service levels. 
  • Treating Customers Fairly (TCF) - Ensure that the appropriate finance MI, processes and systems are in place to provide support to the product divisions so that customers are treated fairly in line with Legal & General’s customer experience and TCF policy.
  • To manage the team in accordance with the Company’s policies and procedures, including the Partnership Agreement, so that the team’s business objectives are achieved consistently.

Qualifications

  • Would be beneficial to be willing to obtain / have a basic accountancy qualification such as AAT.
  • Have a good knowledge base of how an Accounts Payable department operates and functions, with an understanding of the various processes within, including how an accounting system (ideally Oracle / GFAS) is used.
  • Broad knowledge of each of the Group's businesses / divisions including a knowledge of the operational structures of senior management and their reporting lines.
  • Working knowledge of the following:
    -     Group risk management framework;
    -     Health & Safety awareness;
    -     Disciplinary / sickness procedures;
    -      E-mail / internet usage policy;
    -      Performance management framework.
  • HR policies
  • Understanding the impacts from current tax regulations upon the AP team.
  • Understands the requirements and approaches used for projects within Legal & General – including the ability to document and lead a project through its phases to completion.
  • Proactively seeks solutions to problems.
  • Clarifies objectives, aims, time-scales and required outcomes.
  • Obtains appropriate factual data to assist in decision-making.
  • Builds and develops strong relationships with external contacts, staff, peers and other contacts within the business.
  • Development of the team both as a unit and as individuals.
  • Prioritisation, planning and organisation of multi-task/person assignments.
  • Works with and provides guidance and support to other teams.
  • Practice effective delegation: clear explanations, establish capabilities, use as an opportunity to develop, monitor progress and provide constructive feedback.
  • Managing the team effectively within a changing environment
