Scope of the role:
Managing individual product & spare parts SKUs lifecycle on all IT systems.
Create & maintain machine records & pricing in M3.
Managing product lifecycles within Selecta UK’s Shopify webshop.
Liaising with key internal stakeholders to ensure that pricing, supply and specification queries are resolved promptly and permanently.
Key Responsibilities:
Data Management
Manage the full lifecycle of products and parts e.g.
Creation of new codes in all systems
Updating of cost pricing in all systems
Updating codes as and when required e.g. pack size / description change
Inactivating codes in 2 stages – stop ordering & inactivation
Creation & maintenance of machine records
Alignment of codes across all systems – ensuring there is at least 1 field with linking information to cross – reference to another system
Recording & maintaining a database specific to allergens; nutritional information & product specifications
Data Sourcing
Source; verify & retrieve up-to-date, accurate product data from Brandbank, suppliers & other relevant sources
Upload & transfer data into Selecta’s IT systems & databases
Data Reviews & Reporting
Implementing regular cyclical reviews & proactive maintenance and updates of product data
Ensure product data is backed up to optimise emergency retrieval, if required
Developing & maintaining regular product data reporting e.g. monitoring new product code requests; deactivation of codes & replacement code information.
Cross-functional engagement
Liaising with & resolving colleagues queries relating to product data e.g. ensuring barcodes are updated & correct; resolving IT product data errors; providing product specification information via email.
Liaising with external suppliers where relevant to the management of product data within Selecta.
Administration and Systems Management
To maintain accurate, clear, concise documentation and ensure all actions, logs and registers are complete and accurate with entries being made in a timely fashion.
Develop & maintain ‘how to’ guides & processes for all product data management processes.
General ad hoc support of all data management requirements across the business.
Requirements
The role requires an experienced data entry administrator with an excellent eye for accuracy & detail.
Strong intermediate MS Excel skills and good proficient IT skills
Excellent communication & interpersonal skills
Strong analytical & numerical skills
Self-motivated to complete all tasks to a high level and with close attention to detail
A friendly & professional manner with a calm and focused attitude
Ability to handle ambiguity effectively, deal with multiple assignments simultaneously and prioritise and organise their work to be able to meet all deadlines
An enquiring mind, able to cut through to identify root causes of any issues and formulate a plan of action to address the causes
Proactive character, able to take the initiative and resolve issues swiftly and effectively
Ability to work with others as an effective, supportive team member
Experience of working in a service industry with an expectation of high customer service levels
At least 3 years previous experience within a data administration role, preferably within a FMCG environment.
