Talent Pool - Administrative & ClericalThis position is responsible for synchronizing the various operational aspects of Reinventing Care to support successful project completion. This role supports the project sponsor and project manager(s) by administering, collecting, managing and distributing project control information; organizing meetings and events, and updating project schedules. This role also assures the efficient and effective office operations.
Responsibilities
Project Management: Demonstrates good working knowledge of all vital aspects of Reinventing Care project. Gathers, organizes all project information including schedules, data requests, assignments, tasks and project meetings. Monitors progress and provides regular updates to project sponsor, project manager(s) and operational leader(s) and other key stakeholders. Initiates follow-up to facilitate timely project completions. Identifies potential breakdowns and initiates resolution or escalates situations as appropriate.
Information Management: Develops, implements and manages a collaborative environment document control/information management system to organize and track project documents, communication, activities and progress.
Communication: Manages daily operational communication for Reinventing Care office. Processes routine correspondence and notifies project sponsor and manager of priorities and urgent situations. Develops and publishes routine project status reports including standard reports for project visual management systems. Develops high-quality professional presentations for various audiences as requested.
Meeting and Event Planning and Management: Coordinates meetings and events. Tracks participant responses and assures participation reminders. Prepares and distributes meeting agendas and minutes. Makes travel and other arrangements as required.
Calendar Management: Maintains calendars for project sponsor and project manager to assure efficiency and effectiveness.
Administrative Support: Provides exceptional service for all customers of Office of Reinventing Care. Maintain efficient office operations to support effectiveness of Reinventing Care team.
Qualifications
EDUCATION:
Associates Degree - Required
Bachelors Degree - PreferredDegree in Business Management. Business Administration, or Project Management preferred.
EXPERIENCE:3 years of experience required for Bachelor's Degree5 years of experience required for Associate's DegreeExperience in an executive-level administrative support or project management role, working both independently and in a team-oriented, collaborative environment.
