SCOPE: Provide events project leadership including logistics coordination for the execution of exceptional fundraising and investor events.

ESSENTIAL FUNCTIONS: 

  • Maintain an inventory of event supplies both onsite and offsite by tracking, ordering, and receiving items on a regular basis.
  • Provide support for all event fulfillments including invitation and special mailings, ensuring timely delivery.
  • Coordinate the shipment and delivery of event materials, equipment, and supplies to event venues, while ensuring accuracy and completeness.
  • Assist with the preparation of expense reports for reimbursement and monthly reconciliation, including accurate data entry, receipt attachment, and timely submission.
  • Assist with the setup of the annual event website, MailChimp email layouts, and ensure ongoing edits are completed as requested to maintain accurate and current information. 
  • Prepare and submit payment requests as needed and provide ongoing support with expense tracking across multiple accounts, maintaining accurate records at all times.

  • Order gifts, giveaways, and event materials as requested, ensuring timely delivery and accuracy.
  • Provide support for each assigned event and administer closing operations to ensure all procedures are properly completed, ensuring a smooth and efficient event experience.

 SUPERVISORY RESPONSIBILITY:

  • This position has no direct supervisory responsibilities.

OTHER DUTIES: 

  • Attend and participate in a variety of meetings and task force groups as directed and maintain required level of knowledge pertaining to operating procedures, requirements, processes and policies.
  • Lead and or participate in projects or task force groups which focus on issues having organization wide impact.
  • Perform or assist with any assignments as required or directed.

 

WORK ENVIRONMENT:

This job operates in a professional office environment and event venues. This role routinely uses standard office equipment such as laptop computers and smartphones.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk, hear, sit, stand, and walk for extended periods of time. The employee may also be required to kneel, bend, and lift heavy objects (up to 50 lbs) while preparing shipments or setting up/tearing down for events.

TRAVEL:

Domestic travel is required. Ability to travel an average of several days per quarter and up to 10 consecutive days for the annual event.

QUALIFICATIONS: 

  • Strong faith in Jesus Christ as Savior; God honoring lifestyle.
  • Passion for the Word of God and provision of the Word for every people group.
  • Championing Seed Company’s vision, mission, and values.
  • Requires a bachelor’s degree with a focus on Public Relations, Communications, or Business, or equivalent relevant experience.
  • Requires one to three years of progressive experience in event planning and logistical coordination.
  • Strong communication skills, including excellent written and verbal communication.
  • Strong attention to detail and organization, with the ability to manage multiple projects simultaneously and prioritize tasks effectively.
  • Strong critical thinking and problem-solving skills, with the ability to analyze complex information and make decisions.
  • Ability to coordinate logistics, with a track record of success in supporting events of various sizes and complexity.
  • Ability to exercise judgment to prioritize tasks and exercise strong time-management skills, with the ability to work efficiently and meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Word and Excel, including experience with data merges, exporting, and printing.
  • Proficient in the use of Google Drive, OneDrive, and Dropbox, with experience in managing shared files and collaborating with remote teams.
  • Working knowledge of Monday.com or a willingness to complete training within 3 months of the hire date, with a demonstrated ability to learn and adapt to new software tools quickly.
