General Description and Classification Standards
Manages and directs the daily operations of an office and performs administrative and clerical functions for an assigned department. Duties and responsibilities include but are not limited to working closely with the Office of the Commissioner; coordinating office activities, ordering, and maintaining the inventory stock of office supplies; ensuring efficient operations and front office duties; planning expenditures; maintaining bookkeeping records; and routing reports.
Supervision Received
Works under very general supervision. May work independently or with other team members including the Executive Assistant Sr. with responsibility for completion of assigned tasks.
Essential Duties & Responsibilities
These are typical responsibilities for this position and should not be construed as exclusive or all inclusive. May perform other duties as assigned. Oversees processing of daily paperwork and office work; receives and routes all front office incoming calls and emails from internal staff and customers by providing satisfactory internal and external customer service. Light paperwork preparation and/or generates routine correspondence, letters, memoranda, forms, reports, and other documents via computer in Microsoft Office and documentation routing software. Receives, reviews, and routes various forms, requests and reports, files, records, and documents from the public and/or other departments from incoming mail; oversees timely management in coordination with the office mail room. Responds to routine requests for information or assistance from officials, members of the staff, the public or other individuals and directs inquiries to the correct office and city division/department. Establishes goals for the needs of the front office on a regular basis, guides and trains subordinates on proper procedures and protocol of the department.

Creates and promotes a positive work environment. Takes initiative to maintain and manage all general front office duties. Eager to learn and provides guidance, assistance, and training to internal staff.
Knowledge, Skills & Abilities

Minimum Qualifications
Education and Experience
Associate degree in Office/Business Management, Liberal Arts, or related field. 1-3 years of experience in a progressively responsible and confidential front office setting, clerical, or administrative role and supervisory/management experience required.
Preferred Education & Experience
Bachelor’s degree in Business/Public Administration or related field. 3-5 years of strong front office management experience preferred. Empathetic and Confidential to employee and customer needs/concerns. Licensures and Certifications None required.
