Job Descrption

The Medical Facilities Associate I is responsible for the support of the medical facilities programs, projects, and ship’s requests. 

This role is responsible for scheduling global biomedical technician visits, receiving and reviewing biomedical reports, and coordinating corrective actions that include repair, procurement of parts, and asset replacements.  The role also supports requests for pharmacy medications and supplies.

The Medical Facilities Associate I should have knowledge of supply chain processes and logistics.  They will interact daily with shipboard medical staff, medical suppliers, and other company stakeholders such as supply chain, sourcing, port agents and freight forwarders. 

This role supports all brands of the Carnival Corporation which comprises nine brands with approximately 95 ships carrying over 12 million guests annually and employing over 100,000 team members.

Essential Functions:

  • Facilities Support 
    • Respond to shipboard requests in a timely manner
    • Track and record all requests, categorize by level of urgency, and present any escalated matters to management team 
    • Evaluate and prioritize equipment, medication and supplies requests, issues and recommend timely, comprehensive, cost effective and practical solutions 
    • Communicate with other departments and/or vendors to coordinate necessary logistics associated with movement of products and orders
    • Support medical facility operations 24/7 with any request that may require assistance
  • Medical Equipment and Maintenance: 
    • Accurately complete tasks associated to core responsibilities, to research and facilitate the procurement of medical equipment and services 
    • Organize annual preventative maintenance program for medical equipment, coordinate repairs and replacements with third party vendors and update warranties and records by using a c methodical process 
    • Work with third party biomedical company on open equipment work orders and resolution
    • Maintain thorough and accurate records associated with assigned areas of medical facilities responsibilities (e.g., service reports and certificates, equipment tracking, and purchase orders) 
    • Provide comprehensive support to Medical Facilities as directed (e.g., preparation, distribution, filing and tracking of a variety of written documents, spreadsheets, meeting minutes and presentation materials) 
  • Medications and Supplies:
    • Assist with maintaining an organized formulary list, backorder notices and discrepancy lists.  Communicate with suppliers for appropriate lead times on backorder items.
    • Assist management with acquiring suitable alternatives for formulary items
    • Identify and report to management critical issues pertaining to medication outages and urgent ship deliverables
  • Vendor Relations:
    • Assist with order inquiries and requests, issue purchase orders and monitor receiving of product(s)
    • Evaluate and choose appropriate suppliers based on quality of product, cost effective and lead times
    • Maintain effective working relationship with logistical teams (e.g. warehouse personnel, freight forwarding companies, port agents and shipboard receiving team
  • General administration:
    • To assist with other projects as per Management assignments (e.g., new builds projects, new equipment implementation and retirement of assets)

Qualifications:

  • Bachelor’s degree in Health Administration and(or) Supply Chain is preferred.
  • Minimum 1-year experience in administrative support role.  Experience with medical facilities or supply chain in a large corporation is preferred.

Knowledge, Skills and Abilities:

  • Ability to thrive in a fast-paced environment, while prioritizing workloads.  Excellent interpersonal skills and the ability to work with various teams. Great analytical and problem-solving skills with the ability to develop solutions to problems.
  • Advance knowledge in Microsoft Excel, Word, Power Point and Outlook.

Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.

Travel: No or very little travel likely

Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.

The range for this role’s base salary is $17.00 - $23.00 per hour.  Offers to selected candidates will be made on a fair and equitable basis, taking into account specific job-related skills and experience.
