A brief role summary including:
1. Role Purpose
This role within Core People Operations team will focus on supporting HR operations related to onboarding and offboarding processes, managing employee data and documentation, and ensuring compliance with UAE labor laws. The role offers an opportunity to gain hands-on experience in People operations and regulatory compliance, interacting with multiple stakeholders and providing essential support to the team.
2. Impact & Scope
The role will play a vital role in maintaining the smooth functioning of onboarding and offboarding processes, ensuring accurate data management and timely processing of key tasks. The position involves significant interaction with internal teams such as IT, Payroll & Procurement, People Partners and other key stakeholders within the business.
What’s on the menu? (Duties & Responsibilities)
This role will take direction from the Line manager and any other team member assigned... by the line manager or HOD. Day-to-day tasks will include:
Onboarding & Pre-Onboarding :
1. Manage the administrative tasks related to onboarding and offboarding, including document processing, joining documentation, and coordination with IT and other departments for resources such as laptops, email setup, joining kits, medical insurance etc.
2. Conduct pre-boarding welcome calls to ensure new joiners have all required documents and information.
3. Ensuring all trackers are updated and data is accurately updated for all relevant teams
Off-boarding:
4. Conduct offboarding processes, ensuring that all steps such as clearance of company assets, termination paperwork, and final settlement are completed smoothly.
5. Coordinate with payroll to ensure accurate final payments, including any outstanding dues or reimbursements.
6. Manage communication with departing employees, ensuring that offboarding is handled professionally and in a timely manner.
General Duties:
7. Support the team in managing daily operations related to benefits administration, policy compliance, and employee query resolution, ensuring smooth workflow across all core activities.
8. Providing administrative support to team members.
9. Organizing and maintaining departmental documents, maintaining accurate data records, and generating reports as needed.
10. Participating in team meetings and contributing ideas and feedback.
11. Handling inquiries and requests from internal and external stakeholders.
12. Preparing meeting agendas, taking minutes, and distributing them as needed.
13. Supporting the team with research and data collection for various projects.
14. Providing support in the preparation and review of presentations and other documents.
15. Contributing to process improvement initiatives within the department.
