Job Summary: MASA, a company specializing in Home Appliances and Air Conditioners, is looking for a dynamic and experienced Office Administrator/ Receptionist for our Executive Office located in Jebel Ali Freezone. As an office administrator plays a crucial role in the smooth functioning of an office environment. The primary responsibility is to provide support and assistance to ensure efficient operations within the organization. Office administrators are often the backbone of the office, handling various administrative duties and ensuring the office runs smoothly on a day-to-day basis. As an Office Administrator, your main duties include welcoming and directing visitors, coordinating meetings and appointments, and performing clerical tasks, like answering phones and responding to emails.
Office Administrator Responsibility
• Handling of reception desk/front office (Tel/emails/visitors).
• Co-ordinate meetings and appointments.
• Housekeeping of the office through the office... attendant.
• Sourcing vendors for quality products and competitive pricing for office and warehouse supplies.
• Responsible for document controlling, including scanning and accurate tagging and uploading of documents.
• Obtain quotations from vendors for office supplies, warehouse, etc.
• Receiving purchase requests from office and warehouse staff.
• Verifying purchases with quotations, delivery orders, and invoices.
• Follow-up on contracts (office equipment, warehouse machines, transportation, etc.…)
• Coordinate with contractual and other suppliers as required.
• Keeping track and records of material re-order levels.
• Keeping track and record of all documents as required.
• Maintain document filing system both soft and hard copies.
• Verifying employee attendance, petty cash, salary, and employees’ overtime.
• Coordination within the Company departments. (HR, Finance, etc....)
• Coordinate with different government authorities as required for their services (Jafza, Imdad, Trakhees, etc.....)
Skills required
• Proven experience as a back-office assistant, office assistant, virtual assistant, or in another relevant administrative role
• Knowledge of “back-office” computer systems (ERP software)
• Working knowledge of office equipment
• Thorough understanding of office management procedures
• Excellent organizational and time management skills
• Analytical abilities and aptitude in problem-solving
• Excellent written and verbal communication skills
• Proficiency in MS Office Experience having worked in Jebel Ali Free Zone Companies.
• Knowledge of issuing Jebel Ali Free Zone gate entry passes.
• Experience of having worked in a 3PL company. With Finance background
Education and Requirements:
• High school diploma, GED, or equivalent
• Two to three years management experience in an office setting
• Specific industry experience preferred
• Proficient with Microsoft Office software and phone systems
Job Type: Full-time
Pay: AED5,000.00 - AED6,000.00 per month
