Transport Supervisor
The role of Transport Supervisor is to provide daily organisational support to the efficient running of the wider Operations Team. As a Transport Supervisor, you will be responsible for the clear communication between the operations team, the drivers, and clients.
You will have a commercial understanding to ensure all operations are executing efficiently and cost effectively to ensure healthy business performance, at the same time as ensuring driver welfare and maintaining client relationships.
The role demands an understanding of the event industry as well as UK & European geography. Reporting directly to the Transport Operations Manager, you will work closely with all other members of the operations and driving team.
Principle Responsibilities
• To execute the primary planning schedule, reporting any issues or changes to the Transport Operations Manager & Planning Manager.
• To check and understand the schedule to facilitate the plan correctly allocating... resource e.g. drivers and vehicles.
• To ensure each vehicle has the correctly allocated equipment e.g. straps, bars, ramps etc.
• To regularly liaise with driver recruitment agencies and ensure we have sufficient driver coverage.
• To conduct driver recruitment interviews, ensuring satisfactory candidate selection and the completion of interview and driving assessments and gaining reference details.
• To liaise with the Driver Trainer to ensure the completion of the full driver induction process for all new starters (drivers).
• Ensuring driver welfare, wellbeing with mental health being at the forefront of all regular driver 1-2-1 review meetings.
• To conduct driver disciplinary investigations, gathering evidence, witness statement, CCTV footage etc and holding the investigation meetings to establish the facts.
• To conduct disciplinary meetings and handing down relevant sanctions.
• To ensure any performance issues are addressed appropriately, consistently, and effectively, keeping accurate records of any communications.
• To ensure drivers complete the daily walk around checks and report any defects promptly and in the correct manner via relevant app technology.
• To be available for “on call” out of hours phone calls (shared rolling shift pattern).
• To be available to deal with any driver issues or problems which may occur off site.
• To be available to deal with any breakdowns and seek a resolution/recovery of the situation.
• To capture, record and report any H&S related issues, such as accidents or dangerous occurrences.
• To deal with any insurance accident reporting, gather driver statements and photographs, ensuring completion of initial insurance paperwork.
• To motivate, engage and debrief drivers in an appropriate manner and build strong working relationships based on the values of trust and confidence.
• Check event progress and gain regular updates from drivers at the beginning of each shift.
• To manage agency staff in line with Company policy.
• To approve driver holidays and liaise with the planning team to ensure sufficient driver coverage at all times.
• To resolve or address any driver queries or concerns in a sensitive and professional manner.
• To deliver exceptional customer service in relation to any client communication including the coordination of information required by the client (such as driver details, trailer numbers, tractor registrations and client driver NDA’s, arrival times, delays, and any other issues.
• To ensure the drivers understanding of the ATA carnet operating process and encourage the ATA carnet training.
• To conduct the daily trailer walk around checks.
• To assist with the yard trailer parking allocation, always ensuring easy access to all trailers throughout the yard.
• To encourage driver cab hygiene, conducting regular cab cleanliness checks.
• To promote drivers to use the truck wash before leaving site to ensure our trucks look their best before departing site.
• To regularly liaise with the fleet team to ensure the availability of vehicles that are required for MOT & servicing.
Core operational hours are 9am - 6pm.
Personal Specification
• An excellent level of competency in MS Excel, and experience of working with other MS packages.
• Previous experience of working within a 3rd party haulage environment.
• Up to date knowledge of driver compliance rules and regulations for both the UK & EU.
• Knowledge of UK, European and international geography.
• Previous experience of working in a cost driven organisation and practical knowledge of cost budgeting and financial control within a profit & loss environment.
• Demonstrate ability to communicate effectively, clearly, and professionally both verbally and in writing.
• A professional, can-do positive approach is paramount, as is a strong work ethic and a focus on delivering a high-quality service and the willingness to get ‘stuck in’ with the ability to problem solve.
• The ability to build strong working relationships with a variety of personalities and to always adopt a consistent and fair approach.
• Outstanding proven ability to manage complex employee related situations, to include performance issues, investigations and disciplinaries.
• Able to manage their own time and plan workload even when there are conflicting priorities.
