We are seeking a motivated and detail-oriented individual to provide administrative and operational support across all departments. The successful candidate will play a key role in ensuring the smooth and efficient running of our office.
Key Responsibilities:
• Maintenance Department Support: Create work orders, order materials, and schedule call-outs for repairs.
• Communication: Answer and direct phone calls, liaise with tenants, contractors, engineers, councils, and utility companies via phone and email.
• Document Management: Handle filing, scanning, and archiving of important documents.
• Cross-Department Assistance: Provide support to various departments when needed to maintain seamless operations.
• Property Compliance: Organize and... manage property certificates to ensure legal compliance.
• Invoice Processing: Coordinate payment of invoices and maintain accurate financial records.
• Tenant & Client Correspondence: Draft and send professional emails to tenants and clients.
• Data Entry: Input and update information in our property management software.
Qualifications & Skills:
• Proficiency in Microsoft Office Suite: Competent in Outlook, Excel, Word, and PowerPoint.
• Communication: Excellent written and verbal communication skills, with a professional phone manner.
• Organizational Skills: Ability to multi-task, prioritize, and manage time efficiently.
• Attention to Detail: Accuracy and thoroughness in handling tasks and information.
• Driving License (Preferred): Having your own vehicle is an advantage but not essential.
Experience:
• Prior experience in an office environment, with a working knowledge of property management processes, is preferred.
