Job Profile

The Sales Operations Specialist will be responsible for liaising with the Sales Team based across our European offices, and with our Operations Teams in Japan in order to build the specific tour itineraries on our internal booking system. It is therefore a mandatory requirement for the Sales Operations Specialist to confidently communicate fluently in oral and written English and Japanese. The role will require for the person to converse in both languages with several parties, both internally and... externally of the organisation. In addition, this position will require extensive research to be conducted on the Japanese Tourism sector, and to source any other suitable information about Japan.

Job Purpose

This is a fantastic opportunity to join our dynamic team as a Sales Operations Specialist for the Euro Sales Team within our London based Visit Japan Department. In this role, you will be responsible for coordinating on hotel booking and all relevant ground services. Other duties will also involve planning and organising travel arrangements for respective clients.

Main Responsibilities
• Responsible for the hotel and ground service booking arrangements, and to manage this process via our internal in-house booking system
• Required to complete all operational tasks and duties to a high and consistent level of accuracy throughout, and to track the progress for all booking statuses, to ensure these are met within deadline frame times
• To successfully manage the budget for each booking from beginning to end, to maintain statistical and financial records throughout each process
• Conduct relevant research upon products based on sales and clients needs
• To maintain effective and efficient communications with the Sales and Operational teams, in all locations.
• To follow-up on all email queries and to provide additional information to the network office when requested

Qualifications/ Training
• Educated to a minimum of GCSE Level Math's and English, Higher Diploma Level or equivalent

Mandatory Skills Set and Experience
• With a client base of both Japanese and English speaking clients, it is a mandatory requirement for the incumbent to be able to converse fluently in both Japanese and English, to a native equivalent level, in all areas e.g. oral and written
• To be able to conduct all duties to a high business level, with both internal and external parties
• Good overall knowledge and understanding of Japanese culture and geographic locations
• Intermediate level or above of Microsoft Office Skills.

• Prior experience of working within the travel industry

• High level of accuracy and attention to detail
• Good analytical and logical thinking skill in problem solving
• Strong negotiation, interpersonal and communication skills
• Good organisational skills, adaptability to changes in work levels, time management and ability to perform well under pressure
• Any additional language is desirable
• Ability to work as part of a team as well as autonomously
• Adaptability to fluctuations in work levels
