MOUVE by DWL is growing! We are seeking an exceptional individual to join our Admin and Teaching team.

For this role, youʼll be the first point of contact for hundreds of families, responding speedily to all customer issues. As one of our most visible representatives, you are our brandʼs ambassador!

Alongside supporting the admin team, you will lead a few dance / fitness classes. Experience in zumba/dance fitness is an added bonus!

Your 6-star customer service will help us to foster happy and loyal customer relationships for years to come.

Tasks and Responsibilities

We are looking for a clever, creative, tech-savvy, smart-working and detail-oriented star to join our Admin team.

You will already be excellent and passionate about delivering outstanding customer service as well as being excited to work on administrative tasks. You will have outstanding attention to detail and a strong drive to provide an out of this world... customer experience each and every time.

The Day To Day - What Youʼll Be Doing Exactly

Email Management
- Management of main email address.
- Scheduling meetings and class schedule as well as private classes and events (diary management in Google Calendar).
- Responding to customer emails and other business/personal emails
- Confirming appointments with people the day before via email.

Organisation & Administration

- manage bookings for our classes and school clubs ensuring our teachers and school club venues receive registers

-liaise with venues and schools Re term dates and ensure our master schedule is up to date

- Checking and adding tasks in Trello.

- Organisation of Dropbox folders and files.

- Updating and managing customer database on our software

- Creating and managing documents.
- Creating PDF documents.
- Creating reports, forms, templates etc.
- Online research.
- Publishing blog posts (Wordpress) including adding images, tags and keywords. - Publishing newsletters via Campaign Monitor.
- Schedule meetings in Zoom.Us.
- Screenshot and save testimonials from our Facebook Group / emails when they come in.
- Add and remove members in our Facebook Group.

- manage our whatsapp groups for school clubs
- Invoicing

- Ordering and delivering uniform / dancewear

- Updating website with notices or amended schedules

- Book private classes and parties ensuring instructor client have the confirmed details. Follow up with feedback form.

- Creation and sending out of newsletters

Social Media
- Posting and scheduling Facebook and Instagram posts and page status updates weekly. - Copy-Paste and Archive posts from Facebook Group. Posting stories on DWL office phone whatsapp.

Customer Service

- manage the office phone ensuring any texts or messages are replied to to promptly

-helping enrol and onboard all customers following our step by step system
- Handle complaints, provide appropriate solutions and alternatives within the time limits and follow up to ensure resolution.
- Keep records of customer interactions, process customer accounts and file documents.
- Follow communication procedures, guidelines and policies.
- Take the extra mile to engage customers.
- You must be at least an 8 out of 10 when it comes to loving and understanding technology.

Experience with the following software a plus...

- Class for kids
- Active Campaign
- PayPal
- Stripe
- Google Apps (Drive, Gmail, Calendar etc)

- Vimeo
- Asana
- Wordpress

- Canva / Photoshop

Ideal Candidate Profile

- Self-Motivated and Excellent Direction-Taker - You know how to prioritize the most important tasks (at times with minimal guidance), and how to think on your feet. At the same time, you pride yourself in your ability to take direction and deliver the desired result.

- Excellent Communication Skills - You understand the nuances of email communication, and can handle even the most challenging situations with professionalism and warmth. Youʼre also committed to keeping your supervisor “in the know” about your progress. (No one has to ever chase you down!)

- Excellent Grammar and Punctuation - You pride yourself on catching every typo!

- Deadline-Obsessed and Detail-Oriented - You love doing tasks on time, and checking them off your checklist! In fact, you are one of those people who don't understand how some people can be so disorganized and tardy. Responding to emails with a sense of urgency and care is a source of pride.

- Personal Responsibility - If you make a mistake, you take 100% responsibility and fast action to remedy the situation.

- Customer Empathy - Imagining yourself in a customerʼs shoes, you respond with empathy and have an ability to not take grumpy or terse emails personally. You see yourself as a bridge between company needs and customer needs. You know when itʼs appropriate to be friendly and accommodating and when to be firm.

- Extra bonus if you are a dance instructor or have experience / background in dance education (but not essential!)

About DWL

Led by founder Louise Leach, DWL is a busy community dance school providing approx 100 weekly classes in North West London at our private venues as well as schools in North London and Herts. DWL also has a thriving fitness programme delivered both in person in local venues as well as online via Zoom. We also offer dance parties, run Holiday camps and produce annual shows and community events. We are passionate about sharing the joy of dance and building confidence for life at our classes. Our goal is to make dance accessible to everyone no matter your age, experience or background.

Job Types: Full-time, Part-time, Permanent

Pay: £12.00-£25.00 per hour

Expected hours: 10 – 30 per week
