We are looking for a Transportation Coordinator to work in our Operations Department. The primary duty of the Transport Coordinator is to ensure that all transportation bookings are coordinated, suppliers are updated, and day-to-day transportation-related operational tasks are completed on time under the direction of the Transport Supervisor.
You will be responsible for supporting tour operations with the day-to-day transport related requirements including:
• Managing supplier relationships within the... transport needs, coach suppliers, ferry companies, and drivers.
• Booking and allocating tours relating to our coach needs and following up on confirmation while maintaining our budgets.
• Booking our ferry crossing with multiple providers and keeping the relationship up to date with any relevant changes.
• Sending schedule updates and final requirements on the bookings.
• Updating suppliers on our relevant Tour documents and answering queries.
• Following up on invoice queries and working closely with our accounts department.
• Maintaining our driver relationship by keeping them up to date with any booking changes and drivers' hours.
• Assessing feasibility of new tours/modifications to existing ones.
• Managing coach permits.
Department: Operations
Location: London Office - Greenwich
Work Schedule: Full time 9am-5pm Mon-Fri (Hybrid possible)
Salary: TBC - £28-£30
Reports to: Transport Supervisor / Manager
Skills & Experience:
• Industry experience: Experience from a similar role within coach touring operations/transportation/logistics is preferred.
• Ability to work well under pressure and make calm and informed decisions.
• Ability to use initiative and think outside the box.
• Ability to multitask effectively.
• Excellent attention to detail.
• Excellent communication & relationship building skills.
• Time-management and organizational skills, able to meet tight deadlines.
• Self-discipline - Continue towards meeting your objectives without being prompted to do so.
Requirements:
• Tour Operator experience or Transportation Experience: min 2+ years.
• Excellent computer and communication skills.

Summary of Duties & Main Responsibilities:
The primary duty of the Transport Coordinator is to effectively manage external transport suppliers efficiently and effectively. This includes:
• Arranging the allocation of work to suitable transport suppliers.
• Ensuring suitable vehicle and service standards are maintained.
• Ensuring suppliers meet our procurement standards.
• Maintaining positive relationships with suppliers.
• Emergency response - following incident management procedure and working on an on-call basis on occasion.
• Assisting colleagues in the transport team with other tasks depending on workload.
