Job Description

35 Hours per week.  Monday - Friday 9.00 - 17.00.

Purpose of the Post:

The Volunteer Recruitment Assistant will deliver friendly, efficient customer service and will create a warm and welcoming atmosphere for all visitors contacting Eurofins Alba Science Ltd (trading as Eurofins Alba).  They will assist with recruitment, dealing with all volunteer enquiries in a professional and courteous manner, in person, on the telephone or via e-mail.  They will help organise the recruitment of volunteers for all studies carried out at Alba Science Ltd, under the direction of the Volunteer Recruitment Manager.

They will work closely with the Project Managers and study teams to ensure successful study recruitment and maintaining lines of communication with the team to keep them updated on the progress of recruitment.

They will work proactively to ensure the required number of Volunteers are recruited and attend for within the study timelines.

Main Duties:

  • Deal with all volunteer enquiries in a professional and courteous manner, in person, on the telephone or via e-mail.
  • Process volunteer enquiries and register volunteers on the company database.
  • Contact volunteers to recruit them for specific studies, via various channels schedule times for their visits and perform the accordant administration on the database.
  • Administer all enquiries, cancellations, and no-shows, in line with company policy.
  • Keep up to date with current studies, to provide information to volunteers on request, while maximising recruitment opportunities.
  • Fulfil all reasonable requests from volunteers to ensure their comfort, satisfaction, and safety.
  • Creation of study schedules and volunteer appointment schedules.
  • Authoring Volunteer facing emails, adverts, websites, and social media posts.
  • Creation of Volunteer surveys
  • Maintenance of volunteer database and volunteer records.
  • Monitoring of study recruitment progress and action additional recruitment when required.
  • Contribution to the continuous recruitment efforts to increase the panel, submitting ideas and assisting with recruitment initiatives e.g. preparation of marketing leaflets.
  • Deliver excellent customer service, supporting the volunteers whilst in attendance at the study centre and directing visitors to the appropriate contact.
  • Maintain the reception area(s) ensuring that they are clean and tidy, at all times.
  • Receiving post/deliveries, recording the relevant data accurately and alerting the appropriate staff member.
  • Conduct regular security checks throughout the day and report any security issues to line manager
  • Report any maintenance issues immediately to line manager, including all furniture, fittings and equipment.
  • Aid in the evacuation, in cases of emergency, of volunteers.
  • Assist (on occasion) in the performance of technical tasks as deemed appropriate by their line manager.

Qualifications

Essential

  • A highly professional manner and presentable always
  • Solid written and verbal communication skills and an excellent telephone manner
  • Confident in working with and communicating with public via face to face and telephone interactions.
  • Comfortable working as part of a Team
  • A keen eye for detail
  • IT literacy - have a good knowledge of IT and Microsoft programs e.g., word, excel, outlook.
  • A ‘hands-on’ approach and self-starting attitude.
  • An assertive individual who will work well amongst a small team.
  • An honest and enthusiastic approach and a willingness to learn.
  • Flexible - will be required to work slightly irregular hours due to study schedules.
  • Experience working with the public.
  • Proactive
  • Organised and good time management.

Desirable

  • Experience of GCP or GLP.
  • Experience of working in Cosmetics, Hairdressing, Beauty, dentistry, or medical/clinical setting.
  • Social media experience
  • Website content maintenance
  • Experience in using survey monkey or an online survey platform.
  • Experience in working within a Laboratory/Research environment.
  • Recruitment experience
  • Document authoring
