Job Description

Please note this is a full-time, permanent position. Working a 37 hour week, Monday - Friday. 

The purpose of this job within Laboratory Operations is to ensure logistics, systems and consumables are supported in the pharmaceutical development function.  The candidate would also provide a pivotal interface for equipment maintenance and calibration programs.  We are looking for an employee with great organizational skills and proven ability to implement and coordinate 6S activities.

  • Working flexibly in a Pharmaceutical Development, laboratory-based environment.
  • Prioritize lab support activities across functional area to ensure labs remains fully functional.
  • Support the area owners with all aspects of visiting engineer/contractor management.
  • Gather and maintain all required data associated with equipment management.
  • Participate and contribute to upcoming projects related to equipment management.
  • To collaborate, alongside departmental area / equipment owners, leadership team, with Business Partners, such as Finance, Quality, Safety & Engineering for Equipment & Asset management from auditing, decommissioning and disposal.
  • To facilitate communications regarding facility management and maintenance to the department. Generate and distribute monthly/weekly pre planned maintenance schedule (PPM) to all lab staff to help maintain communication and smooth operational functions between the engineering department and Pharmaceutical Development.
  • To act as liaison & point of contact for all equipment management within the department.
  • Ensure chemical excipient and solvent supplies / inventory are in stock as needed.  Ensure all appropriate personal protective equipment supplies are available and all equipment spare parts are organized and an inventory is maintained.
  • Liaise effectively with the project team leads to understand current and future stock supply requirements to maintain project work effectiveness.
  • Maintain a list of equipment for routine maintenance and PAT testing and liaise with Operations, Engineering / Laboratory Support and Laboratory Coordinators to ensure these are scheduled and maintain metrics accordingly.
  • Support laboratory and development suite coordinators with lab inspections and outcomes of audit reports maintained in associated ‘Mirashare’ system.
  • Serve as first point of contact for equipment and facility related problems requiring engineer intervention; ensure timely follow up and standards maintained.
  • Working with Engineering and Laboratory Support schedule vendor visits for equipment servicing.
  • Coordinate activities of routine maintenance and ensure that technicians receive relevant training in key laboratory repair and maintenance activities to maintain operational effectiveness.
  • Ensure chemical excipient and solvent supplies / inventory are in stock as needed.  Ensure all appropriate personal protective equipment supplies are available and all equipment spare parts are organized and an inventory is maintained.
  • Provide routine experimental support, e.g. preparation of buffers or solvent mixtures for HPLC, dissolution sampling, equipment set up.
  • To liaise effectively with the project team leads to understand current and future stock supply requirements to maintain project work effectiveness.
  • Provide shipping support for functional area colleagues.
  • Maintain a seating plan for functional area office area and support desk moves / new starter requirements.
  • To maintain high quality documentation of all activities and adhere to safe working practices in own and others work.  
  • To ensure that all documentation is carried out on time, is accurate and legible and conforms to the relevant quality standards.
  • To keep their training records up to date and participate in and initiate training as required by the client or directed by the Lead Scientist.
  • To update any relevant documentation when requested.
  • To adhere to all client standards in the areas of safety, housekeeping and quality, notifying management of any discrepancies.
  • To ensure that the client’s requirements are fully met or exceeded, following appropriate training, will be flexible on occasion to work across functional business areas where similar skills, knowledge and experience and applicable.
  • To have a clear understanding of the client relationship and service goals.
  • To ensure that all decisions are handled with client service in mind.
  • To ensure uniformity, reproducibility and reliability in all work practices.
  • Once foundational knowledge is in place start to identify any opportunities for improvement of quality and service and work with the team to implement continuous improvement.

Qualifications

  • Degree in a scientific discipline like Chemical Engineering, Chemistry, Life Sciences or Biology
  •  Minimum of 1 to 3 years relevant industrial experience.
  • Previous experience of coordinating and scheduling the maintenance and calibration of a suite of analytical instrumentation is essential.
  • Strong customer service skills.
  • Ability to liaise cross functionally and with external vendors.
  • Ability to take ownership, problem solve, and drive resolution of situations.
  • Strong written and verbal communication skills.
  • Excellent administration, and organizational skills, and be able to manage and prioritize a heavy customer service / administration workload in a fast paced working environment.
  • Ability to track instrumentation breakdowns and provide and present metrics of equipment maintenance and calibration.
  • Experience of organizational 5S activities or similar Lean improvement tools would prove beneficial.
  • Experience of working in a GLP environment is essential.
  • Willing to operate in a flexible manner and able to reuse both internal and external experiences and incorporate them into relevant improvements. Ability to switch priorities at short notice is desired.
  • Good team player, organised, accurate, have strong documentation skills.
  • Passionate about quality and client service.
  • Good communication skills both internally and externally and avoids making mistakes that will hinder the understanding of his/her written and verbal exchanges.
