Job Descrption
We are seeking a Property Administrator for our client, a leading property management firm known for its commitment to excellence in service and maintaining high standards across a diverse portfolio of residential and commercial properties.
In this role, you will play a vital part in supporting the Property Management Team, ensuring smooth operations and providing exceptional support to tenants and property managers.
Key Responsibilities
• * Prepare and issue rental advice notices for new tenants and leases.
• Update the property management database with changes related to move-outs and overholding tenants.
• Maintain accurate tenant contact lists, vendor details, and emergency call-out lists.
• Manage the accounts receivable process for assigned properties, including the entry of cheques into the accounting system.
• Prepare deposits and ensure timely bank submissions, including documentation for the head office.
• Follow up on tenant collections, reconcile accounts, and prepare... A/R adjustments for the Property Manager's approval.
• Respond to tenant service requests via phone, email, or in person, providing information and problem-solving as needed.
• Draft and maintain tenant communication materials, ensuring accuracy and timeliness.
• Provide general administrative support to the Property Manager, including preparing chargeback invoices and drafting tenant notices.
• Enter and update tenant lease information in the property management database and review the monthly rent roll for accuracy.
• Collaborate with the Accounts Payable department to code expenses and maintain up-to-date insurance certificates.
• Assist in preparing monthly reports for owners, including an Executive Summary.
• Support the Property Manager with special projects as they arise.
Job Requirements:
• Minimum of 1 year of experience in property administration or a related field.
• Strong customer service orientation with a proactive and results-driven approach.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Office, particularly Word and Excel.
• Experience with property management software is preferred.
• Ability to manage deadlines while maintaining accuracy and attention to detail.
• Professional demeanor with the ability to maintain confidentiality
