The role is based in Hemel Hempstead, working Monday to Friday and will report to our Bid Support Manager.

Job Description

What does the job look like

We pride ourselves on being the centre of excellence in bid management and production to support the business to create winning bids.  Because we work across the business, we bring our knowledge of other bids and successful contracts to each of the bids on which we work.  As part of the team, you’ll manage the interaction between NEC, our customers and the public sector organisations with whom we do business.

The team is responsible for the distribution and processing of all opportunities to the business.  These opportunities are received through central mailboxes for all customer portals on which we’re registered.  Where we have successfully secured a place on a framework agreement, we also receive opportunity notifications directly from customers.

Key tasks of the role are:

  • Administration of the central mailboxes for Bid Management and Frameworks.  This involves processing and actioning internal and external emails in line with company processes and procedures.
  • Working with bid managers and colleagues to prepare tender and proposal documentation.  This includes template set up and completing standard company information in client questionnaires, requests for information and ITTs.
  • Uploading documents and correspondence to internal and external portals, ensuring robust document control.
  • Processing and submitting tender clarifications to client portals.  Processing clarifications received from customers and ensuring they are distributed and action in line with bid process.
  • Formatting tender documentation for final submission to the customer and uploading tender submissions to procurement portals in line with ITT requirements.
  • Graphic creation and editing.
  • General administration and maintenance to support the team in updating the Knowledge Management Repository.
  • Reviewing and processing tender notices, including completion of portal registrations.
  • Maintaining and updating NEC corporate information on external web sites.
  • Provide advice and guidance to colleagues and external customers on which frameworks NEC has been awarded a place and what can be procured through each.
  • Deal with invoicing, payment and delivery enquiries relating to frameworks through access to back office systems and liaison with the finance and delivery teams.
  • Produce the required management reporting for the external public sector bodies owning the frameworks and for the internal Senior Management Team.
  • Assist with the internal and external frameworks audit processes.
  • Undertake other administrative tasks for the other functions within the team as required.

Qualifications

What we’re looking for

  • Very organised, structured, a good team player within an office environment and able to work unaccompanied.
  • Self-motivated, enthusiastic, committed, articulate, accurate, assertive, professional, flexible and have good attention to detail, ensuring consistency throughout and compliance with tender requirements
  • Computer literate with the ability to use the Microsoft Office product suite (particularly Word).
  • Good keyboard and touch-typing skills.
  • Ability to format documents using templates and styles, following corporate branding guidelines.  Document consolidation developed by others team members into the required tender format.
  • English and Maths qualifications, with a good command of English grammar, and numeracy.
  • Communicate effectively with an excellent telephone manner and experience of dealing with customer enquiries and complaints.
  • Multi-task effectively and able to work to tight deadlines.
  • Experience of contributing to process improvements.
  • Good listening and verbal communication; building relationships and people skills.
