Job Description

About the Role 

As a Part-Time Receptionist in the HR function, you will be responsible for providing administrative support to our colleagues and visitors and assisting the Support Office Experience Specialist in overall office operations and activities. In this role, you will support with overall office operations including managing administrative tasks, supporting office procedures, and ensuring seamless functioning of the reception area. 

This role reports into our HR Business Partner, USA-CA-PR Support Offices and is based out of the New York City Support Office. This position will be onsite Tues/Weds/Thurs 9AM-6PM. 

A Day in the Life 

Working at H&M means no two days are ever the same, but a typical day will include the following responsibilities* 

  • Greets and welcomes colleagues and visitors to Support Office, creating a positive impression and acting as a brand ambassador 

  • Ensures the acceptable appearance, standards, and order of the office, specifically but not limited to all areas visited by external visitors. Areas include the reception area, bathrooms, walkways, kitchens, and supply rooms in partnership with the Facilities team 

  • Performs all office routines, including opening and closing of the office and follows all office best practices and procedures 

  • Partners with Support Office Experience Specialist on ordering catering services for special office events 

  • Answers all incoming calls, checks general office voicemails, and distributes messages 

  • Supports with conference rooms bookings and coordination of larger meetings as needed 

  • Receives, sorts, and distributes incoming mail and packages and applies postage to outgoing mail. Assists departments with large mail orders and special projects 

  • Maintains an overall clean and tidy appearance of the kitchen and lounge areas 

  • Responsible for taking inventory and identifying replenishment of office supplies 

  • Assists Support Office Experience Specialist as necessary, with various administrative tasks 

  • Required schedule will be onsite Tues/Weds/Thurs 9AM-6PM, and additional weekdays as-needed 

Qualifications

Who You Are:  

  • 1-2 years of experience as receptionist, administrative assistant, or other office assistant position  

  • Strong sense of customer service and interpersonal skills 

  • Ability to multitask and maintain a professional demeanor 

  • Professional appearance and manner 

  • Ability to prioritize tasks 

  • Flexible to handle issues as they arise 

  • Works well in a fast-paced environment 

  • Excellent verbal, written and listening communication skills 

  • Proficient with Excel, Microsoft Word, and Outlook 

  • Good typing and data entry skills (40wpm)

Compensation: salary range is $21.68-$24.12 hourly** 

Job Status: Non-Exempt, Hourly
